Invoice Number Generator

Generate sequential or random invoice numbers from a prefix, year and padding template.

What this tool does

An invoice number generator produces unique identifiers for your invoices, and this one builds them from a template: prefix, year and zero-padded sequence, such as INV-2026-0042. The sequence is remembered in the browser, so the next invoice continues from the last one issued without a database. For numbers that must not reveal how many invoices you have issued, the random mode generates unique IDs instead of running ones that count upward.

Builds invoice numbers from a template - prefix, year and padding such as INV-2026-0042.

Runs sequentially and remembers the last number in the browser, so the next invoice continues the sequence.

Switches to random unique IDs when numbers must not be guessable.

Previews a batch of upcoming numbers so a whole set of invoices can be numbered at once.

How to use it

  1. Choose sequential or random numbering.
  2. Set the prefix, starting number and padding width.
  3. Optionally include the year in the template.
  4. Generate - the next number is shown and the sequence advances.
  5. Record the number on your invoice; the sequence remembers itself.

Why use this tool

An invoice number generator solves the small bookkeeping problem that catches every new business: invoices need unique, sortable identifiers, and 'Invoice 1', 'final v2' and 'INV(2)' are how disputes start. A consistent format - prefix, year, zero-padded sequence - sorts correctly, looks professional, and tells you at a glance which year an invoice belongs to. The generator makes the next number a matter of pressing a button rather than remembering where you left off.

Why we built it

We built this invoice number generator to remember the sequence in the browser, because the whole point of sequential numbering is continuity and re-typing the last number each month is where continuity breaks. The random mode exists for the opposite requirement - when a sequence reveals how many invoices came before it, or when numbers are issued out of order across a team. The invoice generator builds the full document; this handles just the number that goes on it.

For the arithmetic around invoicing, the number to words converter writes the amount out longhand, and the week number calculator handles the date side.

Who this tool is for

  • Freelancers and sole traders issuing their first invoices
  • Small businesses replacing an improvised numbering scheme
  • Anyone needing invoice numbers that sort correctly by year
  • Teams wanting unpredictable IDs rather than visible sequences

When to use it

  • Issuing your first formal invoice.
  • Starting a new year's numbering run.
  • Moving from ad-hoc numbers to a consistent format.
  • Numbering a batch of invoices at once.

How it is calculated

Sequential mode assembles prefix, optional year and the current sequence number, zero-padded to the chosen width: INV + 2026 + 0042 becomes INV-2026-0042. The last issued number is stored in the browser, so each generation advances by one. Random mode draws digits with the browser's cryptographic random source and checks the result against the recent set, so repeats do not occur within a batch.

Worked example: prefix INV, start 41, padding 4, year on. The first generation returns INV-2026-0041, the next INV-2026-0042, and so on. Set padding to 3 and the same sequence runs INV-2026-041 - the width is formatting, not a limit, until the sequence passes 999.

The sequence lives in this browser only - clearing site data, or switching device, restarts from the number you set. Record issued numbers on the invoices themselves; the browser copy is a convenience, not the official record.

Numbering formats

Common invoice number formats
FormatExampleBest for
Prefix + year + sequenceINV-2026-0042Most businesses - sorts by year
Year + month + sequence2026-10-007High volume, monthly runs
Prefix + plain sequenceINV-0042Single-year or low volume
Random digitsINV-83-49271Team-issued, order-independent

Zero padding keeps the numbers sorting as text rather than numerically - INV-009 sorts before INV-010, while the unpadded pair sorts backwards.

A worked example

These are the values the generator opens with, so you can see exactly how a number is assembled. Change any setting on the page and the next number updates; the figures below come from the same template.

Example invoice number settings
SettingValue
PrefixINV
Sequence starts at41
Padding4 digits
Year includedYes

With those settings, the generator returns:

  • First number: INV-2026-0041
  • Next number: INV-2026-0042
  • Sequence stored in the browser for continuity
  • Random mode would instead issue INV- followed by unpredictable digits

Assumptions and limitations

Frequently asked questions

How should I number my invoices?

Use a consistent format with a prefix, an optional year and a zero-padded sequence - INV-2026-0042 is the standard shape. The prefix identifies the document type, the year makes filing obvious, and the padding keeps numbers sorting correctly as text. Whatever the format, never skip backwards and never reuse a number.

What is a good invoice number format?

Prefix plus year plus a zero-padded sequence (INV-2026-0042) suits most businesses and sorts by year automatically. High-volume operations often add the month (2026-10-007). The padding width matters more than it looks: unpadded numbers sort incorrectly once the sequence passes nine.

Can the sequence continue from my last invoice?

Yes - set the start number to one above your last issued number and the generator continues from there, remembering the sequence in the browser afterwards. If the browser data is ever cleared, re-entering your last issued number puts the run back on track.

Sequential or random invoice numbers, which is better?

Sequential is standard for most businesses: it is auditable, sortable, and gaps flag mistakes. Random suits teams issuing invoices in several places at once, or situations where a sequence would reveal order or volume. Pick one scheme per business and stay with it.

How do I add a year to invoice numbers?

Switch the year option on and the current year is inserted automatically - INV becomes INV-2026-0042, and rolls to INV-2027-0001 in January if you reset the sequence then, or continues the sequence if you keep it. The year is formatting; the sequence is the identity.

Is this invoice number generator free?

Yes, completely free with no account and nothing uploaded. The sequence is stored in your browser's local storage on your device only.
