What this tool does
A quotation generator builds a priced offer document from the details you type: your business, the client, a quote number, dates, and a list of items with quantity and rate. It works out the subtotal, applies a percentage discount if you offer one, adds tax at your rate and shows the total, all in the currency you pick. The result is a printable document with a plain-text version behind the Copy button, so the same numbers go into an email, a PDF or the invoice you raise once the client says yes.
Builds a complete quotation from your business, client, quote number, dates and line items.
Totals subtotal, percentage discount, tax and final amount in the currency you choose.
Shows the full document preview with copy as text and print buttons.
Keeps every figure on the page - nothing is uploaded or stored anywhere.
How to use it
- Pick your currency and type your business name and the client's name.
- Set the quote number, today's date and the date the quote is valid until.
- Add line items with a description, quantity and rate.
- Enter the discount and tax percentages - both can stay at zero.
- Copy the text version or print the document from the preview.
Why use this tool
A quotation is the document that turns a conversation into a number both sides can point at. Written in an email thread it drifts - the discount is mentioned twice, the tax is assumed, the validity date is nowhere. Typed into a proper document it stops the drift: line items with quantities and rates, a subtotal, the discount shown as its own figure, tax stated at a rate, and a total that can be re-derived by anyone reading it. Generating that document in a minute means the quotation goes out while the conversation is still warm.
Why we built it
We built this quotation generator because the invoice generator already existed and the step before it did not. Quoting and invoicing share the same spine - parties, line items, discount, tax, total - and a quote that has to be rebuilt from scratch as an invoice invites transcription errors at exactly the figures that matter. Here the quotation totals are computed line by line in integer cents, the discount scales the taxable amount, and tax lands on the discounted value, so the number the client approves is the number you can invoice. When the job is won the invoice generator produces the invoice and the purchase order generator records the client's own order, with the receipt generator closing the loop at payment.

A worked example
Load the sample and the tool builds a small studio quotation: three items, a 10% discount and 5% tax in Rs. The totals read like this:
| Item | Qty | Rate | Amount |
|---|---|---|---|
| Logo design - 3 concepts | 1 | Rs 25,000.00 | Rs 25,000.00 |
| Brand style guide | 1 | Rs 12,000.00 | Rs 12,000.00 |

| Tax (5%) | Rs 1,935.00 |
| Total | Rs 40,635.00 |
What you enter, and what you get back
| Item | Details |
|---|---|
| Currency | Rs (PKR) by default, with USD, GBP, EUR and ZAR available. |
| Parties and dates | Your business, the client, quote number, date and valid-until date. |
| Line items | Description, quantity and rate - add or remove rows as needed. |
| Discount and tax | Percentages applied to the subtotal and to the discounted amount. |
| Result | Document preview, totals, plain-text copy and print. |
Issues you may run into
| What you see | Why it happens | What to do |
|---|---|---|
| Total looks lower than expected | A discount percentage is still set from an earlier quote. | Set the discount to zero when you are not offering one. |
| Tax seems low | Tax is charged on the discounted amount, not the subtotal. | That is the usual treatment - check your local rule if yours differs. |
| Client wants prices without tax | The quotation is tax-exclusive by design. | Set the tax rate to zero and note the treatment in your terms. |
| Print includes the form | Nothing should - only the document prints. | If it does, use your browser's Save as PDF on the preview and check the result. |
Assumptions and limitations
- Produces the document only - it does not send, track or store the quotation.
- Tax is a single percentage on the discounted amount; multi-rate or per-line tax is not modelled.
- Terms, payment details and signatures are left to your own wording on the printed copy.
- Figures are formatted for the five bundled currencies without live exchange rates.
Frequently asked questions
What should a quotation include?
Your business and the client's name, a quote number, the date and a validity date, line items with quantity and rate, the subtotal, any discount, the tax rate and the final total.
Is a quotation the same as an invoice?
No. A quotation is an offer with no payment obligation; an invoice is a request for payment for work already agreed or delivered. The figures should match, which is why this tool and the invoice generator share the same layout.
How is the tax worked out?
Tax is charged on the discounted amount - subtotal minus the discount - at the percentage you enter. With the sample figures, 5% of the Rs 38,700.00 taxable amount is Rs 1,935.00.
How long is a quotation valid for?
That is your choice, but two to thirty days is common. The valid-until date field is there so the offer lapses in writing rather than in memory.
Can I copy the quotation into an email?
Yes. Copy as text produces the same document as plain lines - parties, items and totals - ready to paste into an email body or a message.
Is the quotation generator free?
Yes, completely free with no account and nothing uploaded. The document is built in your browser and disappears with the tab.
